Job Description
Job Overview:
Acts as the primary point of contact for assigned clients, owning end‑to‑end execution of sales contracts and inventory positions. The Specialist proactively manages timelines, execution risks, and stakeholder communication to ensure high‑quality, cost‑effective, and compliant service delivery
Key responsibilities:
Responsibilities are exercised within defined governance frameworks and may vary by regional operating model:
- Own end-to-end execution of sales contracts for assigned clients, from contract initiation through delivery and inventory closure.
- Serve as the primary operational contact for clients and internal stakeholders for assigned portfolios.
- Proactively monitor execution milestones (shipping instructions, sampling, delivery, inventory movements), inventory positions, and exposure to prevent service disruptions.
- Validate freight bookings and confirm freight payment completion (when applicable) as a control checkpoint to prevent delivery, customs, or release delays, in line with regional governance
- Anticipate execution risks and resolve operational issues independently or through coordinated escalation.
- Ensure accuracy, timeliness, and control of execution documentation, including sales invoices, bank and warehouse releases, credit/debit notes, and sampling instructions, within defined authority levels
- Maintain accurate client profiles, positions, and inventory data in internal systems.
- Maintain strong coordination with Trading, Risk, Finance, Warehouses, Forwarders, and other service providers.
- Support and mentor Analysts and Assistants through knowledge sharing and day-to-day guidance.
- Contribute to continuous improvement initiatives by identifying process inefficiencies and proposing solutions.
- Review non-coffee service invoices for accuracy and timeliness.
- Validate client-side Letter of Credit / Bank Collection requirements and ensure documentation aligns before final dispatch (when applicable)
- Inventory reconciliation for assigned warehouses is checked on time and properly.
- Assisting and providing support in the different areas of the team when necessary.
Job Qualifications
Qualifications and Education:
- University degree in Logistics, Foreign Trade, Supply Chain, or related field.
Experience
- 3-5 of experience in logistics, international trade, or client support with demonstrated execution ownership.
Technical & Functional Skills
- Advanced working knowledge of logistics execution, Incoterms, and contract flows.
- Strong analytical and problem‑solving skills.
- Proficiency in Excel; Power BI and systems reporting experience are a strong plus.
- Knowledge of GCA/ESCC is a plus.
